How Digital Reports Work

Digital Reports provide a modern alternative to traditional PDF delivery, offering several advantages for both you and your clients:

Enabling Digital Reports

Enable for Your Account

To activate Digital Reports for your account:

  1. Navigate to Settings → Branding
  2. Locate the "Digital Reports" section
  3. Toggle "Enable Digital Reports" to the ON position
  4. Save your changes

Opt-in Feature

Digital Reports are currently an opt-in feature that requires manual activation in your settings. In a future update, Digital Reports will become the default report delivery method for all users.

Creating and Sharing Digital Reports

Automatic Generation

Once Digital Reports are enabled, every completed inspection automatically generates both a PDF report and a digital report link. No additional steps are required during the inspection process.

Managing Digital Reports

Access digital report management through your Reports Dashboard :

  1. Preview Digital Version: Easily preview the digital report before sending to clients
  2. Monitor Access: View when clients accessed the report in the activity log for your report

Client Experience

Accessing Reports

Clients access digital reports by:

  1. Clicking the secure link you provided in your email
  2. Entering the 6-digit PIN provided in your email
  3. Viewing the report immediately in their web browser

No account creation or app installation is required - clients can access reports instantly from any device with internet connectivity.

Interactive Features

Clients can:

  • Navigate between report sections using the sidebar menu
  • View photos in full-screen lightbox mode
  • Download original report photos
  • Read inspector notes and recommendations
  • Save a PDF version of the report.

Mobile Experience

Digital reports are fully optimised for mobile devices, providing:

  • Touch-friendly navigation
  • Swipe gestures for photo browsing
  • Responsive design that adapts to screen size

Inspector Avatar Configuration

Setting Your Avatar

Digital reports display your inspector avatar alongside your name and contact details to provide a professional, personal touch for your clients. To configure your avatar:

  1. Visit Gravatar.com and create an account (if you don't already have one)
  2. Use the same email address that you have configured in your InspectEasy inspector profile
  3. Upload a professional headshot or company logo to your Gravatar profile
  4. Your avatar will automatically appear in digital reports.

Professional Appearance

A clear, professional headshot helps build trust with clients and makes your digital reports more personal. We recommend using a square image with good contrast and lighting.

Avatar Fallback

If you haven't set up a Gravatar account or your email doesn't have an associated avatar, digital reports will automatically display a professional user icon instead. This ensures your digital reports always maintain a polished appearance.
