InspectEasy is committed to providing quality services to you and this policy outlines our ongoing obligations to you for how we manage your Personal Information and how we handle data from various integrations including Google, Outlook, Xero, and QuickBooks.

We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (the Privacy Act). The APPs govern how we collect, use, disclose, store, secure and dispose of your Personal Information.

1. Information We Collect

Personal Information is information or an opinion that identifies an individual. We collect the following types of Personal Information:

We collect and use your Personal Information for the primary purpose of providing our services to you, as well as:

  • Marketing (you may unsubscribe at any time)
  • Integrating with third-party services you choose to connect (Google, Outlook, Xero, QuickBooks)

When we collect Personal Information, we will explain why we are collecting the information and how we plan to use it.

3. Data from Integrations

When you choose to connect InspectEasy with Google, Outlook, Xero, or QuickBooks, we access and use data as follows:

Google/Outlook Integrations:

  • We access your Google Calendar data to in order to create a new calendar to be used with the software, to manage your inspection/follow up calendar events.
  • Data related to identifying a specific calendar and event is stored on our servers.
  • We use this data for the purpose of providing functionality to allow editing and deleting the events the system created based on your actions in the software.

InspectEasy's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy , including the Limited Use requirements.

Xero/Quickbooks Integrations:

  • We access your Xero account data to create customers and invoices for you during when using the software.
  • Data related to identifying an invoice and customer is stored on our servers.
  • We use this data to provide functionality to edit and delete invoices based on your actions in the software.

Our use of data from these integrations is limited to the practices disclosed in this Privacy Policy and conforms with each platform's data use requirements.

Data Retention for Integrations

Integration data is stored on our servers while the integration is active. This data will be removed from our servers within 30 days if you disconnect the integration from your account. For active integrations, we retain the minimum necessary data to provide our services, which includes:

  • For calendar integrations: Calendar and event IDs
  • For accounting integrations: Customer and invoice IDs

This data is retained for the duration of your account's activity, unless you request its deletion.

Data Transfer Security

We take the security of your data seriously, especially when transferring sensitive information such as financial data from integrations like Xero and QuickBooks. All data transfers between our servers and third-party services are encrypted using industry-standard SSL/TLS protocols. We also employ additional security measures including:

  • Regular security audits
  • Strict access controls for our staff
  • Monitoring for unusual activity

Your Data Rights

We respect and uphold your rights regarding your personal data, particularly as outlined in regulations such as the GDPR. These rights include:

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent; or where required or authorised by law.

5. Third Parties

Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we may be provided with information by third parties. In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Your Personal Information may be disclosed:

  • To third parties with your consent
  • Where required or authorised by law.

7. Data Security

Your Personal Information is stored in a manner that reasonably protects it from misuse, loss and unauthorised access, modification or disclosure. When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

8. Accessing and Updating Your Information

You may access and update the Personal Information we hold about you, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

InspectEasy will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information. To protect your Personal Information we may require identification from you before releasing the requested information.

We strive to ensure your Personal Information is accurate, complete, and up-to-date. If you find any inaccuracies, please contact us so we can update our records.

10. Policy Updates

This Privacy Policy may be updated from time to time. The latest version will always be available on our website.

11. In-Product Privacy Notifications

We provide prominent in-product privacy notifications within the InspectEasy app interface to ensure users can easily access information about how their data is being used.
